How to Create Approval Workflows

Approval workflows can be created for both the deduction and promotion process. These can be updated and configured at any time: 

  1. Click Automation Tools on the left hand nav 
  2. Select Approvals 
    1. Name the Workflow 
    2. Select if the workflow is for Deductions or Promotions 
    3. Approval Setup for Deductions: 
      1. Select the action that will kick off this specific approval workflow
        1. Deduction Received 
        2. Deduction Classified
        3. Deduction Classified with Backup
        4. Deduction Pushed to ERP
        5. Deduction Pushed to Clearing Account 
        6. Deduction Cleared 
      2. Select the conditions necessary for this approval workflow to occur 
        1. All (workflow happens on every deduction) 
        2. Customer (workflow only occurs for specific customer) 
        3. Deduction Reason (workflow only happens on specific deduction reason) 
        4. Amount (workflow happens if deduction is over a specific amount) 
        5. Dispute Likelihood (workflow happens based on low/med/high likelihood) 
        6. No Promo Tagged (workflow happens if not matched with a promo)
        7. Note: You can add multiple conditions per workflow but all must be true for it to trigger 
      3. Click Add Approvers 
        1. Tier 1: These approvers will be assigned first
          1. All: All users assigned will need to approve before it moves to the next stage
          2. Any: Once any of the users assigned approve it will move to the next stage 
        2. Optional: You can add additional tiers that will flow sequentially 
      4. Select if the deduction status should move to Complete after approvals are completed 
      5. Select if you want this to apply retroactively to all open deductions, otherwise this will only apply to deductions received after saving Click Add New Approval in the top right corner 
         
    1. Approval Setup for Promotions: 
      1. Workflow will kick-off once a Promotion is Created
      2. Select the conditions necessary for this approval workflow to occur 
        1. Total Dollar Amount (workflow happens if promotion is over a specific amount) 
        2. Promotion Type: (workflow happens based of specific promo type)
        3. Note: You can add multiple conditions per workflow but all must be true for it to trigger 
      3. Click Add Approvers 
        1. Tier 1: These approvers will be assigned first
          1. All: All users assigned will need to approve before it moves to the next stage
          2. Any: Once any of the users assigned approve it will move to the next stage 
        2. Optional: You can add additional tiers that will flow sequentially 
       
      1. Click Save
